- Moving Today When Your Building Needs 48 Hours for a COI
If your building needs 48 hours to approve a Certificate of Insurance but you’re moving today, you have three real options: ask about a rush or temporary approval, use a non-managed entrance if the building has one, or split the move so part of it happens today and the rest waits for the paperwork. Waiting it out and hoping the building makes an exception usually isn’t one of them.
Why the Certificate of Insurance Takes Time
The delay isn’t the mover’s paperwork, it’s the insurer generating a certificate that names the building as additional insured.
A Certificate of Insurance has to list your building’s management company by its exact legal name before the building will accept it. That means the mover’s insurer has to generate a new certificate for that specific address, not just hand over a generic one. Most insurers process this within 24 to 48 business hours, which is fast for insurance paperwork but still too slow when the move is today.
What Actually Happens Without One
A managed building will turn a crew away at the freight elevator or loading dock, not warn you in advance.
Building staff check for the COI on file before granting elevator or dock access, and a crew showing up without it on record gets stopped at the door, truck and all. This isn’t negotiable on the super’s end most of the time, since they’re following the building’s own insurance requirements, not making a judgment call about your situation.
Three Ways to Actually Move Today Anyway
Ask the building about rush approval, check for a non-managed entrance, or split the load between today and whenever the COI clears.
Some buildings will accept a faxed or emailed certificate same-day if you push for it directly with the super or managing agent rather than waiting on the standard process. If your building has a non-managed side entrance or stairwell access that doesn’t require a COI, a partial move through that route can get essentials out today. Otherwise, moving what you can without freight access today and scheduling the rest once the COI clears is often the realistic answer.
The same planning carries over to rushed move.
Option | What It Involves | When It Works |
Rush approval | Calling the building directly, not waiting on standard turnaround | Smaller buildings, flexible supers |
Non-managed entrance | Using stairs or a non-freight door that skips the COI requirement | Walk-ups, buildings without a managed freight system |
Split the move | Moving essentials today, the rest once the COI clears | Managed buildings with no flexibility on access |
